What is a hosted phone system?

A hosted phone system is one in which the servers and hardware are located outside your business location and maintained by third-party vendors. It is usually hosted in the cloud and uses VoIP technology to facilitate calls over the internet. As a result, hosted phone systems are also called cloud phone systems or hosted VoIP solutions.

Unlike traditional on-site phone systems, a hosted VoIP solution does not require you to set up servers or hardware on your business premises. Your service provider takes care of all that in off-site data centres. All you need to do is to purchase their services by paying monthly subscription fees.

A hosted VoIP solution is more cost-effective and scalable than traditional systems. It also helps you save on installation and maintenance costs. Further, it offers functionalities beyond voice calling, such as video conferencing, messaging, call recording, built-in analytics, IVR, CRM integrations, and more.

Hosted VoIP is a phone service that offers a VoIP (Voice Over Internet Protocol) phone system, without the need of an on-site PBX hardware. Traditional landline systems require an onsite PBX. Hosted VoIP providers will typically host a cloud-based PBX as part of their service, in addition to full cloud call centre functionality. There is not a need to maintain servers onsite with hosted VoIP, reducing cost and eliminating maintenance requirements on behalf of the subscriber.

What does VoIP mean?

VoIP stands for Voice Over Internet Protocol. VoIP is a telephony technology that sends voice signals over the broadband internet as digital packets, instead of via phone lines as with traditional phone systems. VoIP technology generally provides clear call quality and additional capabilities, such as video conferencing and the ability to send multi-media messages, which are not supported by traditional phone lines.

How does VoIP reduce costs for a business?

Traditional phone lines charge by the minute for long-distance calling, in addition to the costs incurred for hardware required to establish the phone system, and price per line used. VoIP requires a very minimal amount of hardware and often, VoIP providers provide free calling and the ability to add a large number of lines for a low fee.

What are the benefits of using hosted VoIP for my business?

Businesses benefit from hosted VoIP phone solutions in the following ways:

  • No hardware and maintenance costs: Since service providers own and maintain the servers and hardware, you need not invest in the infrastructure and set up server closets in your business location.
  • Easy installation: Setting up a traditional phone system is often long and complex. However, installing a hosted VoIP is easy – you can purchase a plan and set it up yourself.
  • Multi-device accessibility: You can use cloud-based VoIP phone systems on your laptops, desktops, VoIP desk phones, smartphones, tablets, and other devices.
  • Scalability: The subscription-based plans offered by hosted VoIP solution providers make it easy to add or remove users when you upsize or downsize your team.
  • Portability and flexibility: You can make and receive calls and enjoy all features and functionalities from anywhere with a good internet connection.

What’s the difference between VoIP and hosted VoIP?

Voice over Internet Protocol or VoIP is a technology that allows users to make and receive calls over the internet. A traditional hard-wired phone system transfers voice signals through copper wires, but VoIP technology converts signals into data packets and sends these digital data packets through internet connections.

The term hosted VoIP refers to a phone system hosted in the cloud by third-party service providers and uses VoIP technology for calling. In other words, the servers and hardware of a hosted VoIP system are not in your business location – they are owned and operated by third-party vendors.

You should note here that not all VoIP phone systems are cloud-hosted. You can also have on-premise VoIP systems that make and receive calls through the internet, but the hardware is within your office premises. A hosted VoIP, however, is more cost-effective, flexible, and scalable than the on-premise version.

Is VoIP the same as hosted voice?

From a technical point of view, the answer is no. Though VoIP and hosted VoIP offer you the same functionality – internet-based calling – there is a fine line between the two.

The term VoIP stands for Voice over Internet Protocol. It is a telephony technology that allows you to make or receive calls over the internet. While traditional PSTN or ISDN lines use copper wires to transmit calls, VoIP converts calls into digital data and transfers them as data packets over the internet.

A hosted voice system is a phone system that uses VoIP technology in its operations. As the name suggests, you do not own or host the system in your office location - it is hosted in the cloud by third-party vendors who own, operate, and maintain it.

A VoIP system could also be location-based, but cloud-based versions offer more cost-effectiveness and flexibility than on-premise VoIP systems.

Can you host your own VoIP?

Though cloud-hosted VoIP systems are the most popular choice, you can choose to set up a self-hosted VoIP system. It, however, is a complex process and requires high-level technical expertise.

For starters, you will need to purchase the server space for your VoIP PBX – you can go for a virtual server or set up on-site servers. You will also require open-source PBX software that you can customise to suit your business needs. Likewise, you must obtain a phone number from Direct Inward Dialling (DID) providers to route your calls.

As you can see, setting up a self-hosted VoIP requires technical and programming skills. If you are an SME with no dedicated IT personnel, it could be challenging to set up self-hosted VoIP. A good alternative would be to opt for a hosted VoIP solution provider. It is cost-effective and offers easy installation in just a few minutes. Hosted in the cloud, it eliminates installation, maintenance, and hardware costs. You can access the platform and its features from anywhere using the internet.
